If your venue is within roughly a three-hour drive of the Dallas–Fort Worth market, there's no separate travel charge. Beyond that, we quote travel as its own line item, you see the number before you commit to anything, and it's paid in full before show day along with your deposit.
We measure driving time from the Dallas–Fort Worth market, not straight-line distance, because what costs us is hours behind the wheel and whether the crew sleeps in a hotel. Roughly speaking:

This is the part worth reading twice, because it's the one thing that works differently from the rest of our pricing.
For any event outside three hours of the DFW market, the travel amount and the $500 deposit must both be settled before we load the van. We don't net travel out of what you raise on the night, because by then it's already spent.
Our event fee is still capped at $1,000 and you are still guaranteed at least 50% of what you raise. Travel is a separate reimbursed cost and is not counted inside that guarantee. See the pricing math →
Nothing about travel is a surprise. We quote it with your event, in writing, and you decide with the full figure in front of you.
Once travel and event costs have been paid, that money is committed. Hotels are booked, the crew's dates are blocked and other work has been turned down. So if the show is canceled or moved after those costs are paid, the travel fees and any pre-paid event costs are not refunded.
Travel fees and pre-paid event costs are retained in full. The $500 deposit is non-refundable as always.
Your $500 deposit carries over to the new date. Travel fees do not. Anything already spent on the original date is gone, and travel for the new date is quoted and paid again.

No. It is paid before the event, separately from your fundraiser proceeds. That way your 50% floor is calculated on the night's money without a travel bill eating into it afterward.
Groups do this constantly and it works well. One local business underwriting travel is an easy ask, and they get named as the sponsor who made the night possible.
The guarantee applies to the fundraiser fee, not to reimbursed travel expenses. Travel is an outside cost and sits apart from it.
